Making  Accessible Document using MS Word and PDF’s

As a Parish or Town Council Clerk, you’re responsible for producing key documents such as agendas, minutes, and reports—and ensuring they are accessible to all members of your community, including people with disabilities, is not just good practice, it’s a legal requirement. In this practical training session, you’ll learn how to create and publish council documents that are both compliant and inclusive. You’ll discover how to:

  • Format agendas, minutes, and reports in Microsoft Word for accessibility
  • Convert documents into accessible PDFs for online publication
  • Adding structure to documents = Using headings, alt text, text-formatting, tables, and colour effectively to support assistive technologies
  • Run simple accessibility checks using built-in tools in Word and PDF editors
  • Apply practical publishing techniques to meet WCAG2.2AA and Public Sector Bodies Accessibility Regulations standards

Whether you’re preparing for a council meeting or publishing documents online, this webinar will equip you with the tools and confidence to make sure your documents are clear, inclusive, and accessible.

Registration

Please ensure that you:

  • have the approval of the council to attend YLCA training.
  • register well in advance to secure your place (some sessions fill up very quickly) and ensure the e-mail address provided is accurate when registering.

For all webinar training, please:

  • Include the name of the council so that an invoice can be issued to the council by the CALC or YLCA (by agreement of the CALC) and whether you are a councillor or officer. Please also remember to add the name of the CALC after the name of the council.
  • retain the confirmation e-mail automatically generated by Zoom upon registration as this contains the link to join the webinar. Please keep this safe. You will also receive reminder e-mails directly via Zoom one week beforehand and a day beforehand.
  • join the session at least 5 minutes before the start time as all webinars will start promptly.
  • The presentation and handouts will be e-mailed to delegates after the session, and an invoice will be issued to the relevant CALC or council.

If less than five people register for a training session, it may be cancelled (anyone registered for a cancelled webinar training session will be advised of the cancellation by e-mail).

Cancellation

If delegates are unable to attend a training session and do not cancel the registration, the CALC or council will be charged. Therefore, please cancel delegates’ bookings as soon as you realise they will be unable to attend; this will allow someone else to take their place. If the delegate does not attend the training, YLCA will charge the CALC or council if notification of the cancellation has not been received.
